Job Duties

This position is the Associate Director of Semel NPI - Office of Extramural Support having 4 personnel reporting directly and student staff. Current job functions DRA-Department Research Administrator for Proposals, Pre-Award, Post-Award Manager, Oversee Close-outs of numerous contracts and grants, liaison for various central officers. Extramural funds management, purchasing, Office of Contract and Grants, Accounts Payable, Oversee Financial Portion of all Semel/NPl/OES Training Grants, provide training, attend various manager meetings, attend central office meetings, assist in the design and implementation of Campus tools and systems.

Job Qualifications

Knowledge of all Extramural Funding Sponsors - State, Federal, local and private related to Contracts and Grants. To be able to interpret and explain their related terms and conditions, both for Pre and Post Award Issues.

Management skills to encourage production, standards and consistency amongst staff and promote a healthy work environment.

Demonstrate ability to interpret the funding agency and University policies and procedures and to effectively communicate with ORA and Extramural Fund Management.

Demonstrated ability to understand agency RFA's and PA's to assist faculty and administrators with proposal submission.

Demonstrated skills in fully utilizing UCLA on-line financial reporting systems, including but not limited to: OASIS, FPM and QDB (query data base), etc.

Demonstrate knowledge of generally accepted accounting principles and their practical applications in fund accounting.

Demonstrate knowledge of accounting principles and practices in accrual and deferral, responsibility accounting, break-even analysis and work-in-progress.

Demonstrate knowledge of UCLA Accounting policies, procedures, ledgers and forms.

Ability to interpret, analyze and evaluate data and financial information related to the functions performed in the Office of Extramural Support.

Demonstrate knowledge of the Federal OMB Circulars A 11 O and A21 and Uniform Guidance.

Demonstrate skill in processing and preparing UCLA forms, including but not limited to: transfer of funds, financial journal, purchase requisition, department deposit record, travel expense voucher, check request, limited value order and interdepartmental recharge request.

Audit and authorize forms to comply with UCLA policies and procedures including but not limited to: salary transfers, journal of funds, non-payroll expense transfers.
Demonstrate proficiency using a PC in a Windows and Network Environment.

Demonstrate strong skills in using Excel for Windows to create financial worksheets, maintain database files, and prepare reports.

Demonstrate skills in using Word for Windows to write correspondence and reports.

Ability to complete special projects as described and in a timely manner.

Strong written and verbal communication and interpersonal skills to develop and maintain cooperative working relationship with staff, faculty, vendors, sponsors and other campus departments.
